What we collect, and why

Freightiva is software a freight broker uses to run their business. Most of what is in it belongs to that broker: their loads, their customers, their carriers, their money. This explains what we hold, who can see it, and how long it stays — in plain terms, because a driver should be able to read it at a truck stop.

Who the data belongs to

A broker's data is the broker's. We hold and process it on their instructions so the software can work, and we do not sell it, rent it, or use it to build advertising profiles. If a broker leaves, they can take their data with them and we delete our copy, subject to the record-keeping below.

The driver app and location

This is the part worth reading carefully, because it is the most sensitive thing the product does.

• Location is only collected while a driver chooses to share a load. A driver opens a specific load with a link dispatch sent them and taps to start sharing. Nothing is collected before that, and nothing is collected between loads.
• It continues while the screen is off, and that is the point. A phone in a cab spends most of the day locked. Sharing runs in the background so dispatch can see progress without telephoning the driver. The app shows that sharing is on whenever it is.
• It stops by itself. Sharing ends when the load is delivered, when the consented time window closes, or when the driver stops it — whichever comes first. A driver can stop at any moment.
• Only the broker on that load sees it. Position data is attached to one load and visible to the people working it. It is not shared with other brokers, sold to data buyers, or used for scoring drivers.
• What a position contains: latitude and longitude, time, approximate accuracy, speed and heading where the phone reports them, and the phone's battery level so dispatch knows if a device is about to die. Not contacts, not other apps, not browsing, not audio.

Photographs

Drivers photograph paperwork — a signed delivery receipt, a bill of lading, a lumper receipt — to attach to a load. The app asks for camera or photo access only at that moment. Images are shrunk on the phone before upload and are stored against that load. We do not scan a phone's photo library.

Messages

Messages between dispatch and a driver are stored against the load so the office has a record of what was agreed. Where a driver uses a text message rather than the app, their phone number is used to deliver it and to match their replies to the right load.

People who work for a broker

Name, work email, role and the actions taken in the system — who booked a load, who approved a payout. Sign-in records (time, network address, device description) are kept so a broker can investigate a suspicious sign-in.

Money details

Bank account numbers used to pay agencies and contractors are encrypted with a key held outside the database, so a stolen copy of the database does not reveal them. Only the last four digits are shown in the interface. Two-factor secrets are protected the same way.

Who else sees any of it

Only the suppliers needed to run the service: our hosting provider, our email delivery provider, our file storage provider, and — where a broker turns them on — the text-messaging and carrier-vetting services they choose. Each sees only what its job requires. We do not sell data to anybody, for any purpose.

How long it is kept

Records of a transaction are kept for three years, because a freight broker is required to keep them for that long under 49 CFR 371.3. Location data for a load is kept with that load's record. Outside that obligation, a broker can ask us to delete their data and we will.

Your rights

Depending on where you live you may have the right to see what we hold about you, correct it, or ask for it to be deleted. If you are a broker's employee or a driver, start with the broker — it is their record. If that does not resolve it, write to us and we will help.

Children

Freightiva is business software. It is not directed at children and we do not knowingly collect their data.

Changes

If we change this in a way that matters, we will say so on this page and tell brokers before it takes effect.
